Associate Registrar

Under the general direction of the University Registrar, the Associate Registrar provides leadership in the daily operations of the Registrar's Office, with primary responsibility for ensuring the university's compliance with state and federal reporting requirements, including IPEDS, SCHEV, and the National Student Clearinghouse (NSC). This position plays a key role in maintaining the accuracy, integrity, and timeliness of institutional data submitted to external agencies.
Responsibilities
- Serves as one of the university’s primary points of contact for the Integrated Postsecondary Education Data System (IPEDS) reporting, ensuring accurate and timely submission of all required surveys
- Prepares and submits required enrollment and degree reports to the State Council of Higher Education for Virginia (SCHEV), ensuring compliance with state reporting standards and deadlines
- Manages enrollment and degree reporting to the National Student Clearinghouse (NSC)
- Monitors changes to state and federal reporting requirements and updates internal processes and procedures accordingly
- Collaborates with other administrative offices to ensure compliance and consistency of data across all external reports
- Assists the Registrar in the daily management and operation of the Registrar’s Office
- Oversees the maintenance of student records in the Jenzabar system, a variety of software, and hard-copy files, in accordance with FERPA and university confidentiality policies
- Interprets and applies academic policies and procedures, advising staff, faculty, and students on how requirements apply to individual academic situations
- Assists in the evaluation of transfer and prospective student transcripts
- Assists in the coordination of registration, grading, and academic record processes each term
- Supports commencement and graduation processes, including degree audits and certification of candidates for graduation
- Provides backup support for Veterans’ Administration (VA) education benefits certification and reporting
- Assists in training, guiding, and supporting Registrar’s Office staff on reporting procedures and best practices
- Leads and serves the University and staff by example in supporting the mission, rules, and policies of the University, as well as through strong work ethic and overall job performance
- Performs other duties as assigned
Minimum Qualifications
- Bachelor’s degree required
- Minimum of 2–3 years of experience in a Registrar’s Office or related higher education administrative role, with direct experience in state and/or federal compliance reporting strongly preferred
- Demonstrated understanding of FERPA and other regulations governing student records
- Strong analytical skills with high attention to detail and accuracy in data management and reporting
- Ability to interpret and communicate complex policies and regulatory requirements clearly to a variety of audiences
- Demonstrated ability to use and learn new software programs (knowledge of Jenzabar preferred)
- Strong oral and written communication skills
- Ability to manage multiple deadlines and prioritize effectively in a fast-paced office environment
